You can book 24 hours a day on our website, where you can pay via credit or debit card, PayPal (no PayPal account needed) or Bank Transfer. Please note that if you pay via bank transfer, we will only hold the course open for you for five days so funds must be released within this time. If there is less than seven days before the course start date, a bank transfer payment will not be accepted. On the website, you have the option to pay the full course cost at the time of booking. We take credit or debit card bookings over the phone during office hours.

By booking a course, creating an account, accessing the Learners Portal, downloading course materials, submitting coursework, or taking an assessment, you agree to these Terms and Conditions.

Office hours are Monday to Friday, 9:00 am to 5:00 pm, excluding UK bank holidays.
Our office is also closed during the Easter period, from Good Friday through to the Tuesday after Easter, and during the Christmas period, from December 20 to January 4.
2.1 Courses can be booked online through our website. Bookings may be made 24 hours a day.
2.2 Payment can be made by credit card, debit card, PayPal, PayPal Credit, or bank transfer, where available.
2.3 If payment is made by bank transfer, the course place will normally be held for five days only. If payment is not received within this time, the booking may be cancelled.
2.4 PayPal Credit is provided by PayPal. Any PayPal Credit agreement is between the learner and PayPal. Anatomy & Physiology Online Courses is not responsible for PayPal’s lending decision, credit terms, charges, interest or repayment arrangements.
2.5 Learners should keep copies of receipts, invoices, booking confirmations and payment records.
2.6 Course access will not normally be provided until payment has been received in full, unless we have agreed otherwise in writing.
3.1 We aim to register and allocate online training courses within 24 to 48 hours of booking and payment being received.
3.2 Bookings made during office hours may be processed more quickly where possible.

3.4 It is the learner’s responsibility to ensure that all information provided at booking is complete, accurate and up to date.
3.5 If a learner provides incorrect information, this may delay course access, registration, assessment or certification.
4.1 Learners are responsible for making sure the course is suitable for their needs before booking.
4.2 Learners must check with their insurer, professional body, employer, membership organisation, awarding body or regulator, where relevant, that the course meets their requirements.
4.3 Anatomy & Physiology Online Courses is not responsible if a learner books a course that is not accepted by their insurer, professional body, employer or other organisation.
4.4 Learners are responsible for ensuring they have suitable internet access, a suitable device, basic computer skills and the ability to access the Learners Portal.
4.5 Learners are responsible for saving and backing up their coursework, assignments, downloads and assessment preparation.
5.1 If a learner requires help with learning, accessibility, assessment arrangements or reasonable adjustments, this must be declared before starting the course.
5.2 Where relevant, learners should provide supporting evidence, such as an Educational Health Care Plan, educational report, medical evidence, or other relevant documentation.
5.3 We will consider reasonable adjustment requests fairly and will discuss what support may be possible.
5.4 If we are unable to provide the support required, we will explain this and, where possible, help the learner consider alternative training options.
5.5 Learners should refer to our Reasonable Adjustment and Special Consideration Policy for further information.
6.1 We take reasonable care to ensure that course content, training materials and learning resources are accurate and up to date at the time of production or review.
6.2 Training content is provided for educational purposes. It should not be treated as medical advice, legal advice, professional clinical supervision or a substitute for professional judgement.
6.3 Learners are responsible for applying their learning safely, lawfully and within the limits of their own qualification, insurance, competence and professional scope of practice.
6.4 We may update, amend or improve course materials from time to time.
6.5 Nothing in these Terms and Conditions excludes or limits a learner’s statutory rights.
7.1 We aim to ensure that our course materials are respectful, inclusive and suitable for learners.
7.2 Some terminology may be required by learning outcomes, awarding bodies, assessment requirements, professional standards or historical context.
7.3 Where terminology changes over time, we will take reasonable steps to review and update materials where appropriate.
7.4 No offence is intended towards any person, group, culture, identity, belief or community.
8.1 All course materials, manuals, online content, images, videos, assessments, documents, downloads and training resources remain the intellectual property of Anatomy & Physiology Online Courses or its licensors.
8.2 Learners may use course materials for their own personal study and professional reference only.
8.3 Learners must not copy, reproduce, share, sell, upload, publish, distribute, teach from, adapt, record, screenshot, or commercially exploit any course materials without written permission.
8.4 Course materials must not be used to train others or create competing courses, manuals, learning resources or training programmes.
8.5 A breach of copyright may result in removal from the course without refund and may lead to legal action.
9.1 Our courses are designed to support learners in their own study and, where relevant, their professional practice.
9.2 Completing a course does not give learners permission to teach, licence, reproduce or deliver Anatomy & Physiology Online Courses materials to others.
9.3 Manuals and downloads are provided for learner reference only.
10.1 Our website, Learners Portal or course materials may contain links to external websites or third-party platforms.
10.2 These links are provided for information and convenience only.
10.3 Anatomy & Physiology Online Courses is not responsible for the content, policies, availability, security or practices of external websites or third-party services.
11.1 Our online courses are delivered through a secure online learning system, commonly known as Moodle.
11.2 Learners will need basic computer skills and internet access to use the Learners Portal.
11.3 We aim to provide reliable access to the Learners Portal. However, temporary interruptions may occur due to maintenance, updates, technical faults, internet disruption, third-party hosting issues or circumstances beyond our reasonable control.
11.4 Where planned maintenance may affect access, we will try to give reasonable notice where possible.
11.5 We are not responsible for loss of earnings, loss of business, loss of opportunity, or indirect losses caused by temporary system downtime, except where the law does not allow such limitation.
12.1 Training manuals and course materials will normally be available through the Learners Portal.
12.2 Learners are responsible for downloading and saving their manuals during the period in which they are available.
12.3 Manuals are usually available for download for 60 days from the course start date, unless stated otherwise.
12.4 Once the download period has ended, we are not obliged to reissue manuals, although we may choose to do so at our discretion.
13.1 Certificates will be issued when the learner has met the required learning outcomes, completed the relevant coursework, passed the required assessments and paid any outstanding fees.
13.2 Certificates for FHT courses are normally issued by email.
13.3 We aim to issue certificates within seven working days once all requirements have been met.
13.4 Certificates will be issued in the name provided at the time of booking. Learners must ensure their name is correct.
13.5 Replacement certificates or amendments may incur an administration fee.
13.6 ITEC and VTCT certificates may take up to three months to be issued. This timescale is controlled by the awarding body and is not fully within the control of Anatomy & Physiology Online Courses.
13.7 VTCT certification is normally issued electronically.
13.8 If a hard copy certificate is available and requested, postage and administration fees may apply. Current fees are £15.00 for UK registered post and £19.50 for international postage, unless otherwise stated.
13.9 Learners should refer to our Registration and Certification Policy for further information.
14.1 If you are a consumer and book online, by telephone or by email, you may have a legal right to cancel within 14 days of the contract being made.
14.2 This is sometimes called the cooling-off period.
14.3 However, online courses and digital learning materials may be treated differently once access has started.
14.4 If you access the Learners Portal, log in to the course, download materials, open digital content, submit work, or begin using the course during the 14-day cancellation period, you acknowledge that your right to cancel will be lost once digital content has been supplied.
14.5 Cancellation requests must be made in writing by email to:

14.6 Cancellation requests are processed during office hours only.
14.7 If a cancellation request is received outside office hours, it will be treated as received on the next working day.
14.8 Refunds will be made using the original payment method where possible.
14.9 We may deduct any reasonable costs permitted by law where services have already started at the learner’s request.
14.10 No refund will normally be given where the learner has accessed the course, downloaded materials, submitted coursework, used the Learners Portal, or taken an assessment, unless required by law.
14.11 This cancellation policy does not affect your statutory rights.
15.1 All online courses must be completed within 12 months of course allocation, unless stated otherwise in the course information.
15.2 This includes all coursework, learning outcomes and final assessments.
15.3 The Learners Portal will close at 5:00 pm on the course completion date.
15.4 After the course end date, learners will no longer have access to the course unless an extension has been agreed.
15.5 Extensions are considered on medical grounds or exceptional circumstances only.
15.6 Supporting evidence may be required.
15.7 Where an extension is approved, the course may be extended by up to six months, giving a maximum total course period of 18 months from the course start date.
15.8 A £60 administration fee applies for course extensions, unless we agree otherwise.

16.1 Submitted coursework is marked by a qualified assessor and may be monitored by an Internal Quality Assurer.
16.2 We aim to mark coursework within 21 working days of submission.
16.3 Learners should upload work as they complete it rather than submitting a large amount of work at once.
16.4 If marking delays occur, we will aim to provide information through the Learners Portal where possible.
16.5 Marking times may be affected by holidays, staff absence, awarding body requirements, high submission volumes or technical issues.
17.1 Each course may include a final assessment, online assessment, portfolio, practical element or other assessment requirement.
17.2 Assessment questions may be selected from a question bank. We cannot tell learners in advance which questions will appear.
17.3 Learners may only take the final assessment once the required learning outcomes have been met.
17.4 Learners are responsible for ensuring that coursework is complete, saved and backed up.
17.5 Lost coursework is the learner’s responsibility.
17.6 For ITEC or VTCT assessments, learners may be required to complete pathology assignments, portfolios, invigilated assessments or other awarding body requirements.
17.7 Where an assessment is delivered through an awarding body portal, Anatomy & Physiology Online Courses is not responsible for the content, technical operation or question selection of that external assessment portal.
17.8 Final assessment dates will be offered once the learner has reached the required learning outcomes and has confirmed they are ready.
17.9 Learners must give at least eight weeks’ notice of their chosen exam date where required.
17.10 If a learner takes an assessment with another assessment centre, Anatomy & Physiology Online Courses is not responsible for the date, availability, process or timeframe provided by that centre.
18.1 Learners taking an online assessment must ensure they have a suitable device, webcam, microphone, stable internet connection and any required software, such as Zoom.
18.2 We recommend using a computer or laptop with a webcam.
18.3 We do not recommend completing assessments on a smartphone or tablet unless this has been agreed in advance.
18.4 If the internet signal, device, camera, microphone or required software fails during an assessment, the assessment may be stopped and rescheduled.
18.5 Where an assessment is missed, cancelled late, interrupted or failed due to learner-side technical issues, assessment fees may apply.
19.1 Final assessments can normally only be taken once unless a resit is permitted.
19.2 Additional assessment fees may apply.
19.3 Current administration fees are:
FHT additional assessment: £45
ITEC or VTCT additional assessment: £145
Missed assessment: the applicable assessment fee above
19.4 Assessments will not take place until all outstanding invoices have been paid.
19.5 Mock assessments may be taken twice where stated in the course requirements.
19.6 For ITEC and VTCT qualifications, if the mock assessment is failed twice, the learner may be required to retake theory modules and pay an administration fee of £145.
19.7 Assessment rules may vary depending on the course, awarding body or qualification.
20.1 Learners must complete their own coursework and assessments honestly.
20.2 Plagiarism, cheating, impersonation, falsifying evidence, using unauthorised assistance, copying another learner’s work, or submitting AI-generated work as original work may be treated as malpractice.
20.3 Suspected malpractice may result in investigation, suspension of assessment, removal from the course, notification to the awarding body, or refusal of certification.
20.4 Learners should refer to our Assessment Malpractice Policy, Assessment Policy, Appeals Policy and Internal Verification Process Policy.
21.1 Learners may be sent a feedback form at the end of the course.
21.2 Feedback helps us review and improve our courses, learner experience and support.
21.3 We value honest, respectful and constructive feedback.
22.1 If a learner wishes to make a complaint, they should follow the complaints procedure set out in the Complaints Policy.
22.2 Complaints should be made in writing and should include the learner’s name, course, concern, relevant dates and desired outcome.
22.3 We will aim to handle complaints fairly, respectfully and within a reasonable timeframe.
23.1 Learners may have the right to appeal certain assessment decisions.
23.2 Appeals must be made in line with the Appeals Policy and within the stated timeframe.
23.3 Appeals cannot normally be used simply because a learner disagrees with a mark or assessment outcome. There must be a clear reason, such as a procedural concern, evidence of error, or relevant exceptional circumstances.
24.1 We are committed to providing a safe, respectful and professional learning environment.
24.2 Learners must communicate respectfully with tutors, assessors, staff and other learners.
24.3 We will not tolerate threatening, abusive, discriminatory, aggressive, harassing, intimidating or seriously unprofessional behaviour.
24.4 This applies in person, by telephone, email, online meetings, social media, the Learners Portal and any other communication channel.
24.5 Where behaviour is unacceptable, we may take appropriate action. This may include a warning, limiting communication to email only, removing access to the Learners Portal, cancelling assessment access, removing the learner from the course, reporting the matter to an awarding body or professional body, or contacting the police where appropriate.
24.6 Refunds will not normally be given where a learner is removed due to serious misconduct, unless required by law.
25.1 Anatomy & Physiology Online Courses is committed to handling personal data lawfully, fairly and transparently in accordance with UK data protection law, including the UK GDPR and the Data Protection Act 2018.
25.2 We collect and use personal information to manage bookings, provide course access, deliver training, support learners, assess work, issue certificates, meet awarding body requirements, handle payments, respond to enquiries, manage complaints and meet legal obligations.
25.3 We may process information such as name, contact details, payment information, course records, assessment records, learning support information, correspondence and certification information.
25.4 Where learning support, reasonable adjustments or special consideration are requested, we may need to process health, disability or educational information. This will be handled with additional care.
25.5 We may share relevant information with payment providers, awarding bodies, assessors, internal quality assurers, IT providers, hosting providers, professional advisers, regulators, or organisations we are legally required to share information with.
25.6 We will not sell learner personal data.
25.7 Learners have rights under data protection law, which may include the right to access, correct, erase, restrict or object to the use of their personal data, depending on the circumstances.
25.8 Learners should read our full Privacy Policy or Data Protection Policy for more information, including lawful bases, retention periods, data sharing, international transfers and how to make a data protection request.
25.9 Learners also have the right to complain to the Information Commissioner’s Office if they are unhappy with how their personal data is handled.
26.1 We may update course materials, policies, fees and Terms and Conditions from time to time.
26.2 Any changes will be posted on our website.
26.3 The Terms and Conditions in place at the time of booking will normally apply to that learner’s booking.
26.4 We will not make changes that unfairly reduce a learner’s rights after booking.
26.5 Changes may be made where required by law, awarding body requirements, accreditation standards, safety, technology, or course improvement.
27.1 Nothing in these Terms and Conditions excludes or limits liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or any other liability that cannot legally be excluded.
27.2 Nothing in these Terms and Conditions affects a learner’s statutory rights.
27.3 We are not responsible for losses caused by a learner providing incorrect information, failing to meet course requirements, failing to check professional recognition, failing to complete within the timeframe, failing to attend assessments, or failing to maintain suitable technology and internet access.
27.4 We are not responsible for indirect losses, loss of earnings, loss of business, loss of opportunity or loss of profit, except where the law does not allow such limitation.
28.1 These Terms and Conditions are governed by the laws of England and Wales.
28.2 Any dispute will be subject to the non-exclusive jurisdiction of the courts of England and Wales.
28.3 If any part of these Terms and Conditions is found to be invalid or unenforceable, the remaining sections will continue to apply.
